A licensed therapist (LICSW, LPC, LGSW, LGPC) is needed, part-time (10 hours minimum) or full time (20-45 hours a week) on a contractual basis.

Office Assistant - Billing

We are seeking a competent Office Assistant in our Billing Department, who demonstrates a heart for helping clients, has solid professional administrative experience and skills, and wants to be a part of a flourishing team.  This position is located in Largo, MD.

You will undertake a variety of financial and non-financial tasks in order to help guarantee the company’s revenues that includes handling the processing of incoming payments along with the issuing of necessary paperwork.

You will be working with and supporting a team of therapists who provide professional, private, mental health therapy.

Primary responsibilities Include, but are not limited to:

  • Verify insurance benefits and process coordination of insurance benefits

  • Submit claims to insurance companies

  • Post payments and apply adjustments to client accounts

  • Manage the status of accounts and balances and identifying inconsistencies

  • Update accounts receivable database with new accounts or missed payments

  • Ensure all clients remain informed on their outstanding debts and deadlines

  • Provide solutions to any relative problems of clients

  • Write thorough reports on billing activity with clear and reliable data

  • Collect and apply client payments

  • Email e-statements

  • Follow-up on declined credit cards

  • Retrieve, send and process mail

  • Make bank deposits

Other administrative support include, but are not limited to:

  • Answering incoming phone calls for new and existing clients

  • Greeting clients in person

  • Scheduling appointments

  • Entering new client data

  • Retrieve, send and process mail


  • Excellent knowledge of MS Office (particularly Excel) and Electronic Records software

  • Previous medical billing experience including knowledge of billing related reporting; 2 - 5 years experience in mental health-care billing & collection practices, preferably with an FQHC.

  • Adherence to laws and best practices in regards to dealing with customers and data

  • Results-driven, detail oriented and patient

  • Comfortable dealing with numbers and the processing of financial information

  • Must have experience with website browsers, word processing, database entry and lots of multitasking

  • Must be professional, efficient, responsible, reliable, warm and personable.

  • Professional, friendly, and flexible at all times with clients and fellow co-workers

  • Must have the ability to stay organized, detail oriented, and accurate in your work

  • Easy to work with and who accepts correction, training, and feedback well.
